Responsibilities:

  • Collaborate with clients to understand their event goals, preferences, and vision, ensuring a tailored and memorable experience.
  • Develop comprehensive event plans, including budgets, timelines, layouts, and logistics.
  • Source and negotiate with vendors, including caterers, venues, decorators, and entertainment providers.
  • Design event themes, décor, and concepts that align with clients’ preferences and objectives.
  • Coordinate all aspects of event execution, from setup and registration to audiovisual requirements and teardown.
  • Manage guest lists, invitations, and RSVPs, ensuring accurate attendance tracking.
  • Oversee on-site event operations, ensuring seamless execution, and addressing any last-minute changes.
  • Collaborate with cross-functional teams to ensure all event components, such as marketing materials and promotional activities, are aligned.
  • Provide exceptional customer service by promptly addressing client inquiries, concerns, and feedback.
  • Prepare post-event evaluations, analyzing success metrics and gathering insights for future improvements.
  • Stay updated on industry trends, best practices, and emerging technologies to enhance event experiences.
  • Manage event budgets, track expenses, and provide timely financial reports to clients and management.

Qualifications:

  • Bachelor’s degree in event management, hospitality, marketing, or a related field. Relevant certifications are a plus.
  • Proven experience in event planning, coordination, and execution.
  • Strong organizational skills, attention to detail, and the ability to manage multiple tasks simultaneously.
  • Excellent communication and interpersonal skills to liaise with clients, vendors, and teams effectively.
  • Creative thinking and the ability to conceptualize innovative event themes and ideas.
  • Proficiency in event planning software, project management tools, and Microsoft Office suite.

Tasks

  • Promote conference and meeting services or special events
  • Develop and monitor emergency security plans
  • Recruit, hire and supervise staff and/or volunteers
  • Review bids and negotiate costs
  • Determine requirements for hospitality services, signage, multi-media equipment, printing and other technical services, and arrange for and manage contracts for these services
  • Administer revenues and expenditures and assist in preparing financial reports
  • Arrange for production or purchase of promotional products
  • Assist in budget preparation
  • Assist in site selection and attend to related details
  • Co-ordinate and monitor conference and meeting activities and attend to related details
  • Co-ordinate media services
  • Co-ordinate set-ups, staging, seating, parking, communication systems and other details for special events
  • Implement social programs, food and beverage, transportation, and other services
  • Set up and monitor, or arrange for the setting up and monitoring of multi-media equipment
  • Plan and arrange for accommodation and transportation services
  • Plan schedules, goals and objectives
  • Research and design special events programs
  • Plan for translation and interpretation services
  • Plan for traffic and crowd control and security
  • Develop policies and procedures and attend to other management responsibilities
